Job Description

The RHD Boston office oversees services provided to adults with developmental disabilities.  A key function involved in services provided is that of assisting individuals with the management of personal funds.  In addition RHD Boston serves as the Representative Payee for individuals' benefits (SSI, SSDI). The Fiscal Administrative Assistant is a professional member of RHD Boston's administrative team.  Under the supervision of the Office Manager and the Director of Operations, the Fiscal Assistant oversees tasks related to the documentation of transactions on custodial accounts managed by the RHD Boston Office.  The Fiscal Assistant keeps track of records related to the management of locally managed business bank accounts and files reports related to those accounts with RHD's Central Office.

Essential Duties and Functions
  1. Managing Bank Accounts
    • Monitors record keeping related to Custodial Accounts, reconciles internal records against monthly bank statements
    • Updates and reconciles business account held in the Boston Office
    • Provides written reports/documents to central office departments related to the management of accounts
  2. Charges for Care
    • Prepares yearly charges for care contracts and submits those documents for signature by appropriate persons (guardians/individuals)
    • Processes and records Room and Board payments
    • Provides written reports and documents related to charges for care to appropriate Central Office departments
    • Provides regular documentation to Regional Director regarding past due payments
    • Prepares invoices for past due charges
  3. Custodial Accounts/Individual Funds
    • Reviews materials submitted by manager documenting individual fund transactions
    • Processes bills for payment from individual accounts
    • Ensures documentation submitted meets State requirements, provide feedback to managers on corrections needed 
  4. Client Benefits
    • Processes paperwork related to the individuals' Food Stamp benefits
    • Processes monthly Food Stamp payments
    • Assists with the preparation of documentation related to Social Security benefits
    • Tracks and files documentation related to benefits
  1. Education/Experience
    • Associate's Degree with two years of related work experience OR a High School Diploma with four years of related experience.
    • Knowledge of bookkeeping, financial record keeping
  2. Skills
    • Familiarity with Department of Developmental Services (DDS) regulations related to management of individual funds (training will be provided)
    • Ability to use electronic budgeting/financial record keeping software
    • Proficient in Microsoft Office (Word, Excel, Access, Outlook)
  3. Other Characteristics
    • Must be able to work in an open office environment
    • Effective oral and written communication skills
    • Must be able to manage time efficiently with minimal input from supervisors
    • Ability to work cooperatively with a diverse range of people
    • Ability to work flexible hours when situations dictate
    • Positively represent RHD and it's corporate values when interfacing with public entities (eg. Social Security offices, banks, etc.)

  • This is an hourly position.  Hourly rate $20-$24/hour
  • The position is posted for 20 hours per week.  Specific hours to be worked within the range of regular business hours (9 am -4 pm).  There is flexibility with how the hours are divided up within a work week.
